The Challenge
A hyper-growth, venture-backed software company was moving to an enterprise solution for their professional services team in an effort to streamline the project management and billing process. They had been operating using a combination of home grown solutions and spreadsheets for reporting and time card tracking.
This team had a challenge with resource management, time card management, project tracking, billing, and much more. This caused them to turn to Salesforce as the platform and FinancialForce (now Certinia) as the solution.
I was brought in to save an overly-complex implementation, migrate historical data, and streamline the business using templates and other features found within the FinancialForce PSA platform. The goal was simple: Within 6 months, have the team running on Salesforce and the services billing system fully functional.
The Solution
I spent the first 3 weeks learning the ins-and-outs of their current state, the implementation, and their business, then I went to work on designing. The design phase here was short, but the goal was to simplify processes and the solution so that adoption was almost a guarantee and so that the finance team could take over the billing process.
Within the first two months, we began the build and data migration phase. This went quickly thanks to my background in data engineering and solution design. By the fourth month, we were live.
The Value
Since we were able to accelerate the timeline, this company:
Identified over $750,000.00 of unbilled services for the year that were eventually recovered
Reduced the billing cycle from 21 days down to 7
Gained a holistic view of resource management, utilization, and pipeline
Learned how to increase the accuracy of scoping work for professional services
Improved the project oversight with realtime burn down and trend reports
And much more…
